Privacy notice
How Propertyness collects, uses and protects personal information. Last updated 26 October 2026.
Who we are
Propertyness is operated by [Company legal name] (company number [Company number]), [Registered office address]. We are the data controller for the personal information described here and are registered with the UK Information Commissioner’s Office ([ICO registration number]).
Questions or requests: privacy@propertyness.example.
What we collect
- Account details: name, email, phone number, password (stored only as a secure hash) and, for operations staff, a two-step verification key.
- Property and booking details: addresses, property size, cleaning preferences, pets, allergies, access instructions and key-safe codes, contacts you add (for example tenants, landlords or site contacts), and booking history.
- Photos and documents: photos you or your cleaner upload for a job, and, for cleaners and cleaning businesses, identity, insurance, background-check and training documents.
- Payments: payment amounts, status and receipts. Card details are entered on our payment provider’s secure page and are never seen or stored by Propertyness; we keep only a reference token.
- Messages and reviews you send through the app, and support cases.
- Work records for cleaners: availability, service areas, job arrival and completion times, and earnings and payout records.
- Technical data: sign-in records, IP address, a session cookie, device push-notification tokens if you allow notifications, and anonymous page-speed measurements.
We don’t collect your precise location, contacts list or advertising identifiers, and we don’t use advertising or cross-site tracking cookies.
Why we use it, and our lawful basis
- To provide bookings and payouts (contract): matching jobs to providers, sharing what’s needed to do the work, taking payment and paying providers.
- To keep people and properties safe (legitimate interests and, for vetting, legal obligation): checking provider identity, insurance and capabilities; restricting and logging access to access codes; handling complaints, damage reports and safety reports.
- To meet legal duties (legal obligation): accounting and tax records, responding to lawful requests.
- To run and improve the service (legitimate interests): security monitoring, fraud prevention, service messages and performance measurement.
We don’t sell personal information and we don’t send marketing without your consent.
Who we share it with
- Your provider: the cleaner or cleaning company assigned to your booking sees the job details and address. Access instructions and codes are only shown to the assigned cleaner from 24 hours before the visit, and every view is recorded. Providers browsing available jobs only see the approximate area.
- Clients of providers: clients see the provider’s business name, the first names of the cleaners assigned, verification badges and reviews.
- Within your account: members of a shared household, business or agency account see that account’s bookings according to their role. Landlord details are never shown to cleaners.
- Service providers who work for us: hosting, our payment provider (for example Stripe), email delivery and push notifications (Google Firebase Cloud Messaging and Apple Push Notification service). They may only use the information to provide their service to us.
- Authorities where the law requires it.
Some of these providers may process data outside the UK; where they do, we use approved safeguards such as the UK International Data Transfer Addendum.
How long we keep it
- Account and property details: while your account is open. When you delete your account they are erased or anonymised straight away.
- Booking, payment, invoice and payout records: 6 years after the end of the financial year, to meet UK accounting and tax rules, in anonymised form where possible.
- Job photos: up to 12 months after the job, or longer if they are part of an open complaint or damage case.
- Provider vetting documents: while the provider account is active, then deleted.
- Security and audit logs: up to 2 years.
Your rights
You can access, correct or delete your information, object to or restrict how we use it, and ask for a copy in a portable format. You can update most details in the app and delete your account at any time. To make any other request, email privacy@propertyness.example. If you’re unhappy with how we’ve handled your information you can complain to the Information Commissioner’s Office (ico.org.uk).
Photos
Photos should only show what the job needs: before and after, damage or access problems. The app asks you to avoid people, personal documents, screens and confidential information, and resizes photos on your device, which also removes location data stored in the image.
Security
We use encrypted connections, hashed passwords, two-step verification for staff, role-based access controls, audit logs of sensitive actions and regular backups. No system is perfectly secure; tell us at help@propertyness.example if you spot a problem.
Children
Propertyness is for adults (18+). We don’t knowingly collect information from children.
Changes
We’ll post updates here and tell you in the app about significant changes.
